How to prepare for your Zoom session: Steps for the best experience
At Smile for Success, I want your session to be clear, productive, and stress-free. Whether you're joining for board application guidance, exam preparation, or professional coaching, these quick steps will help you get the best outcome from your time with me.
Step 1: Check Your Email for Your Zoom Link
After booking your appointment, you’ll receive a confirmation email that includes:
- Your appointment date and time
- A Zoom meeting link
- A dial-in phone number and PIN if you prefer calling in
****Please save this email and keep it handy. I recommend adding the session to your calendar, so you don’t have to search for the link later.
Tip: If you don’t see the email, check your spam or promotions folder, or reach out to me at info@smileforsuccesstutoring.com.
Step 2: Test Your Zoom Connection Early
To avoid last-minute stress, take 2–3 minutes before your appointment to make sure everything works smoothly.
Checklist:
- Is your Zoom app up to date?
- Is your audio working? (Try a quick microphone and speaker test)
- Is your camera working and at a good angle?
You can test your setup by joining a Zoom test meeting at: https://zoom.us/test
Tip: If you’re new to Zoom, it’s best to download and install the app a few hours before your session.
Step 3: Choose a Quiet, Comfortable Space
Your environment can make a big difference in how well you absorb information during the session.
Best practices:
- Pick a quiet, well-lit space with minimal background noise.
- Avoid sitting in a busy café or noisy household areas if possible.
- Use headphones or earbuds to improve sound clarity.
- Have a notebook or device ready for taking notes.
Tip: A calm environment helps you stay focused and get more out of your session.
Step 4: Join 5 Minutes Early
Punctuality helps us maximize every minute of your session
Please join the Zoom session about 5 minutes early. This allows time to:
- Resolve any tech issues calmly
- Settle in without rushing
- Begin right on schedule, so we can use our full time together efficiently
Step 5: Bring Your Questions & Materials
To make the most of your session, it helps to come prepared with:
- Any relevant forms, applications, or notes
- Specific questions or topics you want to address
- An open mindset and willingness to learn
If you’re attending a Board Prep or Coaching session, have your study materials or case examples handy.
Tip: Writing down your top 2–3 questions beforehand can make your session feel more structured and productive.
Step 6: Minimize Distractions
To stay fully engaged:
- Silence or set aside your phone.
- Turn off notifications on your computer.
- Let others in your household know you’ll be in a session, so they don’t interrupt.
Tip: Treat this time as an investment in yourself — because it is!
Final Thought
I deeply value your time and commitment to your growth. By following these steps, you help create a space where we can focus, collaborate, and make real progress together.
